A compliance file should make it easy to find the evidence for a particular product version and marketplace request. It should also show what is missing, expired or waiting for review.
Organize around the product
Create a record for each ASIN and relevant variant. Link the current label, supplier records, product specifications, requested testing and marketplace notices. Use a version date for each document rather than overwriting every file with “final.”
Amazon's supplement-verification announcement is one example of a document workflow that must be matched to the request shown in the account. The file should preserve both that request and the evidence used to respond.
Distinguish reference from current evidence
Keep old reports when they explain past decisions, but mark the product version they cover. A manufacturer's updated name, a formula change or a new pack size may create a mismatch even if the report still opens correctly. Give the document index columns for product version, issuer, date, current status and the request it answered; this avoids using an older response as current evidence by accident.
For Canadian NHPs, licence holders retain product-quality responsibilities. Health Canada's finished-product specifications bulletin explains current submission expectations while preserving the responsibility to establish and maintain specifications.
Give the file an owner
Assign someone to record new notices, request missing evidence and track replies. Use a simple status for each item:
- Current evidence reviewed for the stated product.
- Missing or uncertain information.
- Response submitted, with a saved copy.
- Further question received.
- Decision recorded and next action assigned.
Review at change points
Reopen relevant checks before changing formulation, manufacturer, label, marketplace or fulfillment route. Write down what changed and which evidence was reconsidered. A useful file supports a decision; its size is not a measure of product readiness.
